Admit a New Resident

Residex offers users a way to easily capture important resident  data and details prior to or at move-in, creating a comprehensive  resident profile!

Put a Resident on "Hold"

Residents should be placed on 'hold' when they are out of your care / out of your building for 24 hours or more for any reason.  Doing so will prevent services for a resident from showing up on service schedules and lists (unless certain exceptions have been made).   A resident should not be put on hold until they have actually left the building, for this same reason--it puts their services / cares on hold as well. 

When a Resident’s Care Status is set to hold, it affects certain reports and features such as:

  • Daily Assignments
  • Census reports
  • Client Status reports
  • E-Charting of medications and services

Because these reports are affected, a Resident’s Care Status should be immediately changed to “Active” once they have returned.

Please Note: If you have started this process in error, press "Cancel" to end this process. Please read the message that pops up when you cancel. You MUST press the ESCAPE KEY on your keyboard to make the resident status return to the original value on the profile screen.

Discharge a Resident

If a resident is moving out, is deceased, or has transferred to another campus, Residex users will want to "Discharge" that resident in their database.

Resident Profile

The Resident Profile screen provides users with pertinent resident information that can be seen at a glance.


ResiDex allows users to record a list of contacts for a Resident or Prospect. Detailed information such as name, address, phone numbers, and legal and personal relationships for each resident can be entered.

Entering contacts into ResiDex will provide quick access to all phone numbers and
addresses, and provide valuable contact information in the ResiDex Task Manager feature.


Managing resident diagnoses is quick and easy in ResiDex. An individual can have one or more diagnoses, but only one may be marked as the "primary" diagnosis. Some reports will not display information if the diagnosis is missing.  In the case that you are not sure of the diagnosis, you may add "Unknown" or "None on File" until an accurate diagnosis is stated.  

Note: To enter resident diagnoses, a ResiDex user must have Staff Role #19 - Meds and Diagnosis. This role will also  allow you to add or edit  a diagnosis.

Health Info

The Health Info screen allows entry of information regarding a resident's health care resources, including:

  • Health Care Providers (Doctors, Dentists, Therapists, etc.),
  • Pharmacy / Other Resources
  • Health Plan Information

Resident Allergies

Even though the allergy fields are not required fields, we recommend putting allergies or "no known allergies" in the field so it does not appear that information is missing.

The allergies will display on key reports and the Resident information area in RTasks.

RTasks: Resident Diagnoses

The RTasks Resident option allows a user with ResiDex user role "1 - ResiDex Data Entry" to add or edit diagnoses for a resident.  With this role, a user can:

  • Add a new diagnosis
  • Remove a diagnosis
  • Change the "primary" diagnosis

RTasks: Residents

The RTasks Resident option allows visibility to current or former residents. In addition to allowing all staff to view information, it also allows staff with the provider type RN or LPN or users with role 11 - Manager or 13 - Supervisor to:

  • Update information such as demographic information
  • Change a client status (active, hold, or discharged)
  • Add or update the resident bulletin

RTasks: Residents Contacts

The RTasks Resident option allows a user with ResiDex user role "1 - ResiDex Data Entry" to add or edit contacts for a resident.  With this role, a user can:

  • Add a new contact
  • Edit contact information
  • Change the sort order of the contacts, identifying one as "primary"

RTasks: Residents Service Plans

The RTasks Resident option allows a user with ResiDex user role "2 - ResiDex Service Plans" to edit services for a resident.  With this role a user can:

  • View services
  • Add a new service
  • Discontinue a service
  • Modify a current service
