How to document and track In-Service and skill training for your staff

Note: To do any of the following, a staff member will need the Staff Role #17 - In-Service Record Keeping

In-Service Tracking from the "Staff Profile"

Using In-Service tracking from the Staff Profile allows you to enter different In-Service classes and or skill competency trainings on selected dates for a single employee.

Note: To use the Staff Profile, a staff member will need Staff Role #14 - Staff Data Entry

  • From the Setup tab, press the Go Button by the desired staff name.
  • Press the "In-Service Record" Button at the bottom of the Staff Profile screen

  • Use the drop down option to select the In-Service Class desired. If the class does not exist, press the "+" Button.
  • Specify the Date, hours of training, mode of training, the initials of the trainer, and notes concerning the training.  If documenting competency testing, the nurse may opt to reference the training resource or materials.  A note such as "Competency verified as oral medications were administered per facility Policy/Procedure" will create a complete report.  

In-Service "Mass Entry"

Using In-Service "Mass Entry" allows you to enter a single In-Service training on a single date for multiple staff members.

  • From the Setup tab, type "In Service" in the search field
  • Select "In-Service Training Classes" from the option list on the right side.
  • Select the "Group Entry" Button next to the class you wish to document

  • A new window will appear

  1. Select the staff by holding the CTRL or SHIFT Key down and selecting names
  2. Enter the in-service date
  3. Enter the number of hours
  4. Select the mode of training from the option list
  5. Select the Trainer (optional)
  6. Enter any notes such as training outlines, website links, list of books used, etc. (optional)
  7. Press OK 

Note: Pressing the "Group Entry - Alt" Option allows you to enter different classes taken by different Staff Members, by choosing In-Service Classes and Staff by pull down menus.

Enter a new In-Service Category

  • From the Setup tab, Type "In Service" in the search field
  • Select "In-Service Training Categories" from the list on the right side
  • Press the New button on the top of the screen, or hit Control + N
  • Enter the new Category

How to enter an "In-Service Class"

  • From the Setup tab, Type "In Service" in the search field
  • Select "In-Service Training Classes" from the option list on the right side.
  • Press the New button on the top of the screen, or hit Control + N
  • Enter the new Class: from the option list, select the category, enter the name
  • Select Core "Training" and/or "Annual or Site Mandatory"
  • Enter a description, press Save.

Key reports

Searching "Inservice" from the Reports tab will provide a number of reports.  

  • Staff In-Service/Training- will provide a record by employee, including trainer and notes
  • In-Service raining Certificate will create a certificate for inservice class attended
  • Staff In-Service Training-- All Campuses gives a wide view of all in-services and training campus-wide.
