Restrict Access by IP Address is a web-based application, so can be accessed anywhere there is access to the internet.

For HIPAA compliance, it's important to restrict access to RTasks for some users so they may only access RTasks from pre-authorized locations (e.g. the facility). This can be achieved with our IP Address Restriction controls.

This feature allows you to allow some individual users (such as on-call nurses or administrators) to log in from anywhere, and restrict others (HHAs, CNAs, housekeeping, etc) so they can only log in from your pre-authorized network. 

To use this feature, your building must have a Static IP Address from your Internet Service Provider.

Staff with the Manager (Role 11) or Supervisor (Role 13) permissions can manage this setting.

RTasks Manage IP Addresses

From the user menu, select Settings

Select Manage IP addresses.




The screen will display your current IP address and report if it is part of the "whitelist" or 'approved' IP addresses in use by your database.

Below, it will display a whitelist of all IP Addresses that have been pre-authorized. 

Click Add my current location to allow staff to access RTasks through your current IP Address

- OR -

Type in an IP address in the blank field and press Add

When finished, press Done


Remove an IP Address

From the Manage IP addresses screen, select the "Remove" button next to the IP Address you wish to remove.

Manage Staff Access:

This can be managed under the Staff Profile > Security screen's Login & Access section, as well as the 'Settings' screen


  • From the user menu, select Settings
  • Select Manage Staff Access





Toggle the check box on/off to specify if the staff is/is not limited by IP address 

When finished, press Done

Access can also be granted by going to the Staff Profile, selecting a staff person, and navigating to 'Security' and 'Login and Access'.
