Setup a ResiDex User

Entering your staff in Desktop ResiDex to process and track the following items and more:

  • Manage their access to Desktop ResiDex or RTasks
  • Track In-service classes
  • Enter meeting attendance
  • Enter staff supervison

Setup RTasks Access

RTasks access is granted on a user-by-user basis, and can be configured to work in one of two ways for your organization:

Email-Based Login

If your users all have email addresses, these email addresses can be setup as usernames for your users in RTasks. This is our recommended approach as it gives your users the option to reset their own passwords should those passwords be forgotten, as well as gives your users the option to use 2-Step Authentication(an additional security feature) when they login. 

Staff email addresses will only be used by Residex for the following purposes:

  • Sending Alerts when enabled (Alerts will include general updates on a variety of subjects specific to each user, and will never include Protected Health Information).
  • May be used to send communications from the ResiDex Support team.

"Username" Based Login

If you prefer your users not be required to have an email address to log into RTasks, we can set up your database to handle logging into RTasks with a normal username instead of an email address. The only requirement for this approach is that each username will have to be unique amongst ALL RTasks users including users who are not part of your organization.

Deactivate a User

In the event of a staff member resigning, being terminated, or otherwise leaving your employee, you must deactivate that user's account to protect access to the data you manage. Fortunately it is extremely easy and fast to disable a user's access to ResiDex and/or RTasks!

Transfer a User

ResiDex will allow you to manage your staff access.  Your database may contain different "Campuses". A Campus may be viewed as the Facility's main location, an apartment, or group home.  If your facility has multiple locations, you may have multiple "Campuses"  setup in your single database. ResiDex will allow you to assign a staff member to a campus that they would then access. 

There is another feature that we will outline.  If your facility has staff supervisors, you may wish to not only assign an employee to a campus but also a "community" within your campus.  A community may also be viewed as a floor or wing such as first floor, second floor, assisted living, memory care, etc. Having this feature activated is required to use notifications such as "MY Staff Supervision Notifications"

HIPAA & User Accounts

An important part of being HIPAA compliant is up to users. It is essential that ResiDex users do not share their login usernames. The ResiDex username/paswword locking system is a very important part of being HIPAA compliant and keeping private medical information secure.

Create a Single Step Login

Creating a single step login will allow a user to log in with one username and password instead of two.  A two step login would have a "generic" computer login that is shared by anyone using that computer and then a second username and password field that would be user specific.  Single step logins will streamline the process.

Resetting a User's Password(s)

If a user forgets their password to log into Desktop ResiDex, a user with Staff Role 15 - can reset their password from Desktop Residex.  

RTask passwords can be reset by users themselves (if they have email user names) or by users with Role 15 either from desktop Residex or RTasks.

Staff Address Confidentiality

Limit access to staff addresses to only users with the "Campus Supervisor" Role. This assists with keeping staff information confidential while still allowing supervisors to have visibility to it.
